Description
We are seeking an assistant to the Head of Secondary, to help him/her in all administrative duties throughout the school.

The Secondary Campus Secretary will be expected to perform the following responsibilities:
Administrative duties:
-Be in charge of school registration (PSEA and ACSI/MSA for whole school) and Registrar of Companies
-Be responsible for the procurement of the primary/secondary school supplies
-Submit annual requests for new (and renewing) student identity cards and tend to those late applicants (as applicable)
-Develop and manage the Secondary Campus calendar as part of the schoolwide master calendar, including Google Calendar, External and Internal Planners, and Staff Room White Board
-Handle all event requests for the division, including coordination of facilities, IT, catering, communications, and otherwise, ensuring proper planning and execution
-Assist with student information system database, class selection, club/sports, homeroom information, student data and/or transcript requests, and support in the information distribution of events and information
-Be responsible for all attendance data of the school, including marking absences, early departures, late arrivals, excused absences, etc.
-Assist student, faculty and staff with requests as needed
-Greet and assist visitors and answer and direct phone calls
-Deal with electronic mail, both incoming and outgoing in a secure manner
-Assist with first aid
-Coordinate van drivers, routes and handle transport issues
-Assist the Head of Secondary in organising their administrative workload
-Arrange appointments and meetings as appropriate and ensuring that the Head of Secondary is adequately briefed and have all relevant papers to be discussed
-Draft correspondence and other documentation to the Executive Leadership’s specification.
-Deliver messages and/or retrieve secondary students as requested by Hub or Executive Leadership
Qualifications, Skills & Training Required
-Strong organisational skills and ability to juggle multiple priorities simultaneously
-Good verbal and written communication skills in French and English (Creole helpful)
-Excellent proofreading and writing skills
-Ability to work independently and follow through on assignments with minimal direction
-At least 2 years of proven experience in an administrative support role
-Fluent in use of MS office/Google Suite applications
-Ability to handle confidential matters with discretion
-Good analytical/critical thinking
-First Aid Trained (if not qualified, school can train)
-Relevant qualifications for child safety/safeguarding/police clearance
